Insightly offers a great CRM solution for smaller businesses and dabbles in project management as well. If you’re in the market for multi-purpose software and are looking to stretch your dollars further, Insightly should definitely be at the top of your list.
Insightly is used in small (0-50 employees) medium (51-1,000 employees) and enterprise companies (1000+ employees).
The good:
Multiple included features that aren’t typically found in other CRM solutions on the market. From a decent project management system, email templates, and app add-ons; there are a ton of bells and whistles.
Insightly has some of the best mobile applications to help your reps and marketing folks easily keep tabs on contacts in your funnel and maintain the workflow away from the desktop.
Multiple reports types and options to keep tabs on key metrics to ensure your pipeline is running the way you want.
The bad:
There are some features that are only available with the larger plans. These same features are available standard in other solutions.
This CRM is definitely setup for teams. If you are an operation of one or two, it may not be the right option.
How it works:
As Insightly can fill many roles, the home tab comes pre-loaded with a bunch of different tutorial tasks that can walk you through functions you need for your role. The entire user interface is designed a bit like Facebook, there’s a ‘Recent Activity’ feed right in the center whenever you log in and you’ll find your navigation on the left. The feed can be filtered as well so if you only want to see yesterday’s activity or a specific salesperson, have at it!
In terms of CRM capabilities, Insightly checks all the right boxes. They have contact management, lead management, tasks, events and more. They pack in plenty of pre-built reports with your software as well, and you can customize them as well. The reporting has been a pain point for Insightly before, it wasn’t nearly as customizable as some of the larger competition, but they eased that anxiety when they recently released an integration with Microsoft Power BI.
The really cool part about Insightly is that they tossed in project management features for free called ‘Insightly Projects.’ Projects includes a pipeline you can modify to your heart’s content and there are tons of other features designed to customize your workflow, stay on top of your daily activities, manage your tasks or your team’s tasks, and much more.
Quite a few CRM software solutions offer mobile apps and Insightly isn’t any different. Insightly takes their app a lot further than the competition though, if working from the road is important to you their app is definitely worth a second look. Like other apps, you can view upcoming tasks and contacts, but they recently updated it with a lot more functionality – you can modify your pipeline right from the app or modify entire projects. It’s not quite the same as running the full blown application, but it’s the closest the industry can offer in a smartphone app!
One of the main concerns businesses have is the cost of CRM software products, and for good reason. Many of the huge name brands pack in tons of features you may not need, and then raise the price to exuberant amounts, especially if you have a larger business.
One main draw Insightly has is the low prices, they don’t water down the free plan as much as some larger competition do, so you can get the full functionality you need without breaking the bank. There are 5 different plans in total, 4 of them are paid and one free. If you decide to take the plunge and purchase their software, they do offer a 14-day free trial. One thing to note, if you can afford one payment they do offer a discount if you purchase the entire year up front, but both monthly payments and annual are an option.
The free tier allows up to 2 users, it comes with 200MB cloud storage, 2500 records and 10 emails a day. Although the small number of users might be limiting, as we mentioned above Insightly doesn’t cut any core features out of the free version. You get all of the CRM features, all of the integrations and even community forum support to help you out.
Insightly’s first paid plan is ‘Basic,’ it costs $12 per user per month if paid annually. The Basic has no minimum or maximum number of users, it includes 1GB storage, 25,000 records and up to 500 emails a day. The only real difference between basic and free is that you can schedule reports to run automatically in Basic, you get email support and the mobile app gets a business card scanning feature.
Next up is the ‘Plus’ plan, it will set you back $29 per user per month. Plus comes with everything the other plans do, but upgrades your storage to 10GB, includes up to 100,000 records and you can send out 2,500 emails from the program every day.
‘Professional’ is the next step up, it costs $49 per user per month. It steps up your storage to 100GB, includes 250,000 records and 5,000 daily emails. Professional does add in one feature the other plans lack, ‘Lead Assignment Rules.’ You can set up Insightly so it will automatically and out leads to your sales team based on criteria like geographic location.
Last up is ‘Enterprise,’ it’s the most expensive plan at $99 per user per month. You get 250GB storage, 500,000 records and up to 10,000 daily emails. Like Professional, Enterprise also includes the Lead Assignment Rules to automate the distribution of new leads.
Insightly is an astounding value for your money, especially so if you run a startup or small business. It doubled down on features, packaged with both CRM functionality and acts as a project management suite as well.
